Procurement one-pager for agencies

The answers a vendor review usually asks for, in one place. Every line here matches our Privacy Policy, Terms and Data Processing Agreement (PDF).

  • What data we hold

    • About your agency: account details (email, name, and a hashed password or your sign-in provider’s identity), settings, usage and audit logs.
    • About your clients: the business name, address, website, competitor list, notes and settings you give us, plus the names and work email addresses of brief recipients.
    • The briefs: built from publicly available sources only, such as websites, reviews, listings, job posts and filings. We do not access anything private belonging to the businesses you track, and every finding names its public source.
    • Payments: card numbers go straight to our payment processor. We never see or store them.
  • Never patient data

We don’t collect, store or process patient information: no PHI, ever. Fully HIPAA compliant.

Why there’s no BAA: a Business Associate Agreement covers protected health information, and we never receive or hold any, so there is nothing for one to cover.

  • Who else handles the data

A small number of outside services help run MyIntelBrief. Each is contractually bound to use the data only to provide its service to us, and all of them are US-based and process data in the United States:

    • AI language-model providers (write and check the briefs; they don’t train on it)
    • Public-web research and business-listing providers
    • Email delivery
    • Payments
    • Hosting (a dedicated server we run ourselves)
    • Off-site backups (encrypted on our server before upload)
    • Site analytics and bot protection

Your client list is never used to train AI models, not by us and not by our providers. We email active subscribers at least 30 days before adding a new category of provider. More detail: who handles your data.

  • Security basics

    • All traffic runs over TLS 1.3.
    • Database backups are encrypted on our server before they are uploaded anywhere.
    • Passwords are hashed with bcrypt.

    Full page: Security.

  • Export and deletion when you leave

    • Export: Account settings → Your data → Export my data downloads your agency account’s data as one machine-readable JSON file.
    • Deletion: you can delete your account yourself; we email a confirmation link first. Active client businesses have to be cancelled or offboarded before the agency account can be deleted, so a client’s data is never erased by accident.
    • How fast: account data is deleted within 30 days of deletion, and encrypted backups expire within 30 days. Billing records are kept for tax law.
    • Your clients: we never market to them or tell them we’re involved. If a payment isn’t made, briefs stop for you and your clients. We never contact your clients — not about billing, not about anything. We remind only you: briefs stop on day 14 of a missed payment, start again with your next scheduled brief once it’s paid, and the plan closes at day 60.
  • White label

Your logo, your colors, your reply-to. Nothing on the brief says MyIntelBrief, and we never disclose that you are a customer. We never contact your clients.

  • Billing terms

    • Month to month (or year to year), no long-term contract. White label plans can cancel at any time to stop future billing; the current month is not refundable.
    • The standard plan fee can also be paid yearly, about 16% less (two months free). The small-agency plan fee (verified agencies with fewer than 5 clients) is monthly only.
    • Each client business is billed monthly on top of the plan fee, at less than $34.00 a month per client; the rate drops as you add clients.
    • Price changes come with at least 30 days’ notice.
    • No annoying sales calls, ever. Sign up online, on your own time.

Plan fees: see plans. The full per-client price list, with all-in totals: by email to your agency address.

  • Support and paperwork

Email info@myintelbrief.com, for questions, security reports (put “Security” in the subject) and paperwork. To sign the DPA, sign the PDF and email it to the same address. No call needed.
